How to Bill Pool Service Customers Every Month (and Get Paid on Time)

Monthly billing for pool service: when to invoice, what to put on the bill, how to add extras, how to handle late payers and why card payments online beat checks.

How to Bill Pool Service Customers Every Month (and Get Paid on Time)

Pool service is a monthly business. You service the pool four or five times, then you bill for the month. Get billing right and money comes in on the same few days every month. Get it wrong and you are chasing checks while servicing pools for customers who have not paid since spring.

Bill in advance or in arrears?

Both work. Pick one and write it in your service agreement:

  • In advance: invoice on the 1st for the month ahead. Fewer losses when a customer leaves. Most growing pool companies move to this
  • In arrears: invoice at the end of the month for visits done. Easier to sell, but you have already done the work if they do not pay

Either way, invoice on the same day every month. Customers get used to it.

What to put on the invoice

  • The month and the service day ("Weekly service, Mondays, March")
  • The monthly price
  • Extras done that month, each on its own line: filter clean $125, salt cell clean $95, pump motor $650
  • The due date (on receipt, or within 10 days)
  • A link to pay by card online

Clear invoices get paid faster and generate fewer calls.

Start with a simple service agreement

One page, signed or accepted by text before the first visit, saves most billing arguments. Put in:

  • The monthly price, the service day and what weekly service includes
  • What costs extra (filter cleaning, repairs, green pool recovery) and that you will ask before doing it, above a set amount like $150
  • When you invoice and when payment is due
  • The late policy and when service pauses
  • How either side can cancel (30 days' notice is common)
  • That you need gate access and pets inside on service day

Keep it plain. Customers sign plain agreements and remember what is in them.

Take cards online

Checks under the mat get lost, get forgotten and take days to clear. A text with a payment link gets paid from the customer's phone the same day, often within the hour. The card fee is small compared with the time you save and the accounts you stop chasing.

Add extras to the same bill

When you clean a filter or replace a part, add it to that month's invoice instead of sending a separate bill. One invoice a month is easier for the customer and easier for you to track.

Handle late payers early

  • Day 10: a friendly reminder by text with the payment link
  • Day 20: a call or a second text: "Just checking you saw March's invoice."
  • Day 30: a clear note that service pauses if the invoice is not paid in 7 days

Write the late policy in your agreement so it is not personal. A customer two months behind has already cost you 8 or 9 visits.

Raise prices with the invoice

Send price changes with a month's notice: "Starting February 1, weekly service will be $175 a month." Put it on the January invoice and send a short text. Most customers accept a reasonable increase from a tech they trust.

Keep it in one list

You should be able to see, in one screen, who paid this month and who did not. Paper and memory stop working around 30 accounts.

An example month

A route of 70 accounts at $165 is $11,550 in service, plus maybe $1,200 in filter cleans and a pump motor. Invoices go out by text on the 1st. With a pay link, a typical pattern is that most are paid in the first three days, a few more after the day 10 reminder, and two or three need a call. Compare that with checks, where you might still be waiting on a quarter of the route on the 20th. These are example numbers; your customers set the pace, but a link always beats an envelope.

How PoolRoute handles it

With pool service invoicing in PoolRoute, you send each account its monthly invoice by text or email in under a minute, add the extras for the month, and customers pay by card online. You see who paid in one list. It does not charge cards automatically; you send the invoices, and sending a full month takes a few minutes.

Frequently asked questions

Should pool service be billed before or after the month?

Both are common. Billing on the 1st for the month ahead reduces losses when a customer leaves; billing after is easier to sell. Pick one and put it in writing.

How do I get pool customers to pay on time?

Invoice on the same day every month, include a link to pay by card online, send a reminder at day 10 and write a late policy into your agreement.
